1. Add Prospect Enhancements
We’ve added some great enhancements to the ‘Add Prospect’ screen to give you more visibility and information about your prospects when attaching them to a listing, as well as the ability to create a Desired Property search for the prospect with a single checkbox.
Prospect Activity Snapshot
When you add a Prospect to a Listing, how great would it be to know, at a glance, how many other desired property searches the contact has setup, how many current properties the contact has, how many open homes have they been to lately, etc. We’ve added a new feature called Prospect Activity Snapshot, which gives you a summary of everything you need to know about your prospect right when you attach them to your listing.
The benefit of this extra visibility is how it will help you categorise and prioritise your prospect, so you can decide whether they’re cold, warm or hot, their interest level and likelihood or purchasing, etc. We present the information to you to help you make decisions – do you want to assign a different client marketing plan to this contact, follow them up sooner or not at all, etc.
The icons from left to right, mean:
- Number of Current Properties the contact has
- Number of Desired Property searches setup for the contact
- Number of Open Homes they have attended in the last 3 months
- Number of Roles the contact has played on any of your office listings (eg: Buyer, Vendor, prospect)
- Number of Offers the contact has made on any of your office listings in the last 12 months.
In this release, the icon has no action, but in the next release you’ll be able to click on the icon to see the details of each of the activities without having to navigate to other screens.
Create Desired Property for the Prospect
When prospects come to Open Homes or inquire about a Listing, it’s likely that they’re interested in similar types of Listings. This would normally mean you’d navigate to the Contact and create a Desired Property search for them, so they are matched as part of your ‘Matching Prospects’.
We’ve now added a checkbox to the ‘Add Prospect’ screen to allow you to quickly and easily add a Desired Property search for the contact based on the current listings attributes. The checkbox is defaulted to ON if the contact has no existing search that matches that criteria, or it’s defaulted to OFF if they already have a search that matches the criteria.
The criteria added to the Desired Property search is based on the listing attributes as follows:
- Suburb is set to the Suburb of the listing
- Property Category and Type is set to the Category and Type of the listing
- Bedrooms and Bathrooms are set to the same as the listing
- Price range is set to +/- 10% of the listing search price.
The functionality saves you time and ensures you don’t miss any opportunities to convert potential buyers. Setting up searches for them automatically will ensure they appear in ‘Match Prospects’ searches, and allows you to setup Buyer Seller Toolkit accounts for them to automatically receive Listing Notification alerts.
2. Current Property Redesign
We have overhauled the Current Property section of a Contact to provide integrated data about the property, giving you valuable information to keep you more informed and to help you make better decisions.
Imagine a seller lead has contacted you, and all they’ve given you is their address. When you’ve added the contact record, you can add a Current Property for the contact and type in the Sellers home address. Picking from rpdata’s address suggestions, the Current Property screen now shows you everything you need to know about this sellers home – without having to switch screens, switch applications, or do any additional research. What you now see:
How many of your contacts have Desired Property searches that match the sellers property attributes? The notification icon gives you the number, but you can also click on it to see the list of your contacts, refine the search, add them to a group or create a marketing plan for them etc.
You can now see Property Images, Property Value Estimate, Median Suburb Sales Price, Sales History and On the Market History – all without leaving the screen you were on.
This valuable information gives you everything you need to know about the seller’s property before you’ve even had to call them! Information to help you make better decisions and service your clients better, ultimately helping you to win more listings!
3. Generate Listing Brochure / Window Card
We have added the ability to generate a brochure/window-card from a listing. Click the ‘Brochure’ link from the Actions bar, and choose the template and number of images.
- The listing must be ‘Published’ before the Brochure option is available.
- Currently, only one template (Portrait) is available. More templates will be coming in future releases. If you need a custom template or a template with custom colours developed, please get in touch.
A PDF will be generated, which you can then choose to open and print, or save to your hard drive to email to prospects etc.
4. Listing Offers
We have added the ability to capture Offers made by Prospects/Contacts on a Listing. Capturing and tracking this additional activity by your prospects gives you more information about them, how active and interested they are, as well as storing this information against the listing for reporting. You can access Offers in a number of ways:
On the Prospects tab of a listing, click on the Offers link to see all offers made on the listing.
From here, you can Add an Offer, see existing offers, edit existing offers, and filter to see only offers with a particular status (Pending, Accepted, Rejected).

From here, you can filter your prospects to only those who have made offers, or use the Prospect Action dropdown to add an offer for a particular prospect. The $ icon indicates that the prospect has made an offer.
Note: There is no automatic workflow triggered when ‘Accepting’ an offer. It is simply changing the status of the offer.
5. Converting Buyer to Vendor
When you sell a listing, the Vendor who was attached to the listing is now no longer living at that address. The buyer of the listing in most cases may now have moved into that property. It’s frustrating to have to remember to update your contact records with that information and change the Current Property records for those contacts – so we’ve added functionality to do this work for you!
When a listing status is changed to Settled, you’ll see a new popup which gives you some options. All checkboxes are defaulted to ON, but you can un-tick any options where you do not want that change to take place.
Change Buyer’s Client Type to Vendor
If selected, this updates the Buyer’s Client Type to Vendor. If not selected, the Client Type will remain unchanged.
Update Buyer’s Home Address to this listing address
If selected, the Home Address of the Buyer will be updated to the listing address. If not selected, the Home Address of the Buyer will remain unchanged.
Create this property as a Current Property for the Buyer
If selected, a Current Property record for the listing address will be created for the Buyer. This will be useful for later searching and categorising, as well as potentially re-listing the property in the future. If not selected, no Current Property record is created.
Remove this property from Vendor’s Current Property list
If the Vendor had this listing address as a Current Property record, then if this checkbox is selected, the system will remove that record from the Current Properties list. The checkbox will not show if the Vendor did not have a Current Property record matching the listing address.
6. Show Matching Prospects on Property Research
The Property Research tool is a unique rp.agent achieve tool that not only shows you your listings and appraisals and your office listings and appraisals on a map, but thanks to rpdata integration, also brings in on the market listings and recent sales of other agencies in the same area.
This consolidated view gives you competitive information about your area in which to make decisions about your appraisals and listings. What are you competing against? What has recently sold in the area? and now, which of my contacts are interested in any of those properties on the map? It’s no doubt useful to know that you have contacts with buyer criteria that match a competitive agency listings – do you market to them differently? How do you talk about your listing versus the competitor listing?
We had added Matching Prospects to the Property Research tool, which gives you a list of your contacts that have Desired Property searches that match the filter criteria for listings on the map. From that list of prospects, you can email them, add them to a group, attach a client marketing plan and more.
You can filter the map view to restrict or expand the criteria for which listings (and prospects) are returned by clicking on “Filter Properties”. In a future release, the Price (range) of a property will also be added to the filter criteria.
7. List of Open Homes for an Office
You can now see a list of upcoming Open Homes for your Office – to use internally, or so you can print or email for a prospect.
Access the list by clicking on “Open Homes” from the Listings module.
You can filter the list of open homes by using the Suburb Search, or any of the attributes. You can select any or all of the listings and use the Actions dropdown to print or email the list.
8. New Templates for Virtual Postcards
Virtual Postcards are like a HTML brochure that you can send to your contacts via email. There are ‘general’ templates for things like Birthdays and Christmas, as well as Listing templates for promoting a particular listing. We have added 3 new Listing templates:
- Just Listed – 1 picture No Open Homes
- Just Listed – 1 picture with Open Homes
- Just Sold – 1 picture
Choose your listing, then choose the template.
You can then edit the subject, and choose the recipients you want to send it to. It will then be sent as a HTML email to those recipients.

1. Copy Listing Enhancements
Previously, the Copy Listing functionality was only available when the Listing Status was ‘Settled’. Now, it is also available when the Listing Status is ‘Archived’.
This functionality quickly and easily allows you to create a new listing of the same property, without having to re-enter details or upload images.
